Minutes of the Centerville City Council/Whitaker Museum Board joint work session held Tuesday, May 5, 2009 at 5:30 p.m. in the Centerville City Council Chambers, 250 North Main, Centerville, Utah.

WHITAKER MUSEUM BOARD ANNUAL/LONG-RANGE PLAN
 
Melissa Hogan, Museum Director, reviewed the Annual Plan and budget request for the Whitaker Museum. The Council was provided with an itemized list of proposed expenditures which included operating costs, collections maintenance costs, staffing, volunteer recruitment programs, digitizing expenses, and public/educational programs. The total estimated annual expense for these purposes is $15,000. The Museum has applied for additional grants to help with costs for digitizing and for educational programs.

The Council discussed the Facilities Management Plan which addresses maintenance; development; building plans and designs; building restoration rehabilitation projects; repair/replacement of period elements; and property condition assessments. One of the most urgent projects is repairing/replacing the roof. Estimates have been received for the work and the cost for roof replacement is estimated at $25,000. A grant of $3500 for this work has been awarded and the City Budget has a $3500 match, for a total of $7,000. This grant money must be used by July 25, so staff is recommending the work begin as soon as possible to use the grant funds.  The Council directed Melissa Hogan and the Museum Board to work with contractors to gather bids for this work and report back.
 
 The Mayor directed staff to schedule these decisions on a future City Council agenda:  annual budget approval; Facilities Management Plan approval; and approval of museum policies and procedures.

COUNTY COMMISSIONER DISCUSSIONS

County Commissioners Petrov, Millburn and Downs were present to discuss items of interest with the City Council. Commissioner Petrov reviewed some projects in the initial planning and funding phases that will happen in the County and in Centerville. The Commissioners responded to questions from the Council regarding transportation and property tax issues.

At 6:55 p.m. the meeting was adjourned.
